Drain unblocking for facilities management starts with a location that both the helpdesk and contractor can recognise. “Blocked drain at Building B” is too broad when the property contains repeated room names, several gullies and more than one underground run.

Use the building’s room, asset, riser, gully or chamber reference from the first call. Keep that reference on photographs, the drainage company’s quotation and its completion note.

Give the callout a drain location someone can find

The ticket should name the affected outlet and the nearest known access point. It should also show which facilities are unavailable. A blocked staff toilet, a loading-bay gully and a plant-room floor drain may sit on different systems even when they share one postcode.

Use the same reference from report to handover

Attach safe photographs or an old drainage plan to the named location if they exist. The proposed drainage company can then see whether its equipment route crosses a public area, security zone or working plant space before it quotes.

Arrange access before the drainage company arrives

Where some toilets or work areas remain usable, identify them clearly. Staff should not reopen the affected facilities until the connected outlets have been checked and handed back.

What the facilities team needs back

  • the exact drain section and access point attended;
  • the obstruction or material found;
  • the outlets included in the final flow check;
  • any area that remained out of use; and
  • a separate note for inspection or repair that was not part of the clearance.

A broad “job complete” status loses the information needed for the next callout. The contractor’s note should carry the same property and drain reference as the helpdesk ticket, including on any CCTV file.

Compare repeat faults on the same run

When the named chamber or washroom appears again, review the material removed, method used and time since the previous visit. That comparison helps distinguish a recurring restriction from a separate problem elsewhere on a large site.
